Anyone have any good input on the easiest way to do this (email template)

I am not sure if a program is out there or what, but here is what I am trying to accomplish....

I have telemarketers working for me and they call and set appointments for people to show up for a presentations at different venues. They are given confirmations numbers. Basically whay I want to do is to send them a follow up email with details about my company and provide different links to things such as the BBB and also links to view video testimonials on my website of other people who attended. Now I am sure I could do it with something as basic as MS WORD, but I was wondering if there is a way to make it easier on my secretary where as basically for whatever city we happen to be in, there would be a template she could pull up and just have to put in the persons name and comnfirmation number and input the email address and then be done with it and it would be sent. Everyone for that city would be recieving the same email other than the the confirmation number and their name obviously.

Also, is there a way to have a link to eother google maps or mapquest where when they click on it they will have the end destination already entered and all they have to do is enter the starting point?

Betall- I have not checked it out all the way, but it looks as though this is something you would use if you want to make continued contact with the masses, I am really looking for just a onetime confirmation email to send out.
